A blank reply box in front of a one-star review is where most store owners freeze. Here is how to reply to a bad review on your Wix store using Proofy Reviews' shop-owner response field — plus five templates you can adapt right now, and a full before-and-after example so you can see the difference a good reply actually makes.
This is the tactical companion to what to do with negative reviews on Wix, which covers strategy. Use that one to decide *whether and how* to respond; use this one for the actual wording.
The short verdict
Best fit
Every public reply should do three things in under 60 words: acknowledge, state next step, move specifics private. Nothing more.
Before you type a word
- Re-read the review once, calmly. Do not reply within the first minute of reading it.
- Check if this is an isolated complaint or the third review describing the same issue — that changes your response (see one bad review vs. a pattern in the negative reviews guide).
- Decide the real next step (replace, refund, investigate) before you write the public reply, so you are not improvising in public.
- Check whether the reviewer already contacted support separately — if so, reference that quietly ("we're following up on your message") instead of starting a duplicate thread.
Five reply templates
- Product defect: "Thanks for the honest feedback — this isn't the quality we aim for, and we'd like to make it right. Please reach out to our support with your order number so we can sort a replacement."
- Sizing / fit complaint: "Appreciate you flagging this — we know sizing can run differently than expected. We've noted your feedback for our size guide and would love to help you find the right fit; reach out to our support team."
- Shipping delay: "Sorry for the wait on this one. Shipping delays aren't the experience we want for you. If it hasn't arrived yet, please message our support team so we can look into it directly."
- Vague one-star, no detail: "We're sorry to hear this didn't meet expectations. If you can share more detail with our support team, we'd genuinely like to understand what went wrong and fix it."
- Mismatch with expectations (photos/description): "Thanks for the feedback — we want our listings to be accurate. We'll take another look at the product description and photos. If there's anything specific we can help with, reach out to our support team."
The structure behind every good reply
| Step | What it does |
|---|---|
| Acknowledge | Shows you read it and take it seriously |
| State the next step | Gives the reviewer (and future readers) a clear action |
| Move specifics private | Keeps order details and personal info off the public page |
What to avoid in a public reply
- Arguing with the reviewer's account of events, even if you disagree
- Including order numbers, amounts, or personal details in the public reply
- A defensive or sarcastic tone — it reads badly to everyone else browsing that product page
- A generic copy-pasted line that ignores the specific complaint
- Promising a specific outcome ("we'll refund you in full today") in public before you have actually verified the order
A full before-and-after example
Original review (2 stars): "Ordered the ceramic mug set, one arrived cracked. Packaging was thin for something breakable. Disappointed."
Watch out
Weak reply (what not to do): "Sorry to hear that, we've never had this issue before and our packaging meets industry standards." — This reads as defensive, implies the customer is the exception or is exaggerating, and gives no next step.
Best fit
Strong reply: "Sorry a mug arrived cracked — that's on us, not you. We'd like to send a replacement right away. Please reach out to our support team with your order number and we'll get it sorted." — Acknowledges without arguing, takes responsibility, gives a clear next step, moves the order-specific details private.
Editing a reply after you post it
The shop-owner response field can be updated any time in the Proofy dashboard. If a customer's issue gets resolved after your initial reply, add a short update — "Update: we sorted this with the customer directly" — so anyone reading the thread later sees the resolution, not just the original complaint. This single follow-up line is often what turns a two-star thread into a net-positive trust signal for everyone else who reads it.

Can I reply directly to a review on my Wix product page?+
With Proofy Reviews, yes — the dashboard has a shop-owner response field on each review. Your reply is added under the review, visible next to the customer's original feedback.
How is this different from the negative reviews on Wix guide?+
That guide covers the overall strategy — when to reply, when to fix the product, when moderation is fair. This guide is the tactical layer: the exact words to use in the reply box. Read both; use this one when you are staring at a blank reply field.
Should I offer a refund in the public reply?+
No. State that you will make it right and move the specifics to a private channel (email or order support). Public replies should never contain order numbers, refund amounts, or personal details.
Can I edit or delete my reply later?+
You can update the shop-owner response field in the Proofy dashboard at any time. If the issue gets resolved, it is worth adding a short follow-up line so future readers see the resolution, not just the original complaint.
What if the review is one star but describes a minor issue?+
Reply anyway. A short, professional reply to a one-star review does more for trust than silence — it shows every future buyer that someone is actually reading and responding to feedback.
How fast should I reply to a bad review?+
Within a day or two if possible, especially during high-traffic periods like a sale. A reply that shows up three weeks later still helps future readers, but a fast reply also reassures the original reviewer that someone is paying attention.
